POSITION SUMMARY

Under the direct supervision of the designated Wexford Health manager, provides general secretarial and receptionist services to the Health Services Administrator of the Unit.

DUTIES/RESPONSIBILITIES

  1. Perform Clerical / Technical duties
  2. Prepare and type reports/correspondence for HSA and Medical Director.
  3. Answer telephone, relay messages and transfer calls as appropriate.
  4. Develop and maintain filing system for all material.
  5. Schedule appointments for HSA and Medical Director.
  6. Collect, sort and distribute daily mail.
  7. Orders office supplies as needed.
  8. Takes minutes of meetings and other dictation as requested.
  9. Inputs missed punches into the KRONOS system utilizing approved Missed Punch Forms.  Runs KRONOS reports as directed and distributes them to appropriate supervisors for review.
  10. Maintain inmate correspondence file.
  11. Secure information for responses of inquiries.
  12. Maintains the confidentiality of all correspondence and files.
  13. Approaches change in a positive manner.
  14. Makes suggestions for improving work conditions.
  15. Accepts constructive advice/criticism and learns from it. 

ADDITIONAL DUTIES AND RESPONSIBILITIES

  • Maintains composure in stressful situations.
  • Participate in in-service education.
  • Support philosophy, objectives and goals of the health services unit. 
  • Conforms to Wexford Health Sources, Inc., and facility regulations as appropriate, to include, but not limited to:
    • Dress code
    • Schedule/time sheet
    • Safety and security regulations
    • Procedure for paid time off (PTO)/education seminars

ENVIRONMENTAL CONDITIONS

Standard medical setting within a correctional facility, which includes daily interfacing with inmate patients, correctional staff, and health care personnel. Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning.


 

TRAVEL: N/A

LICENSING: None required

CERTIFICATION: Current CPR certification.

EDUCATION: High school graduate or equivalent.

PREFERRED EXPERIENCE: Minimum 2 years administrative experience. 

OTHER PREFERRED KNOWLEDGE, SKILLS AND ABILITIES: Proficient in the use of computer, dictating and copying equipment.
