POSITION SUMMARY

The Leave Management Specialist will be responsible for in-house administration and management of company-wide leaves of absences (LOA) including, but not limited to, FMLA, medical leaves, personal leaves, short term disability and ADA activity.  The incumbent interacts with the Risk Management Department to assist in the management of employees out on workers’ compensation.  Ensures applicable LOA forms, correspondence, tools, processes and policies are current and appropriate based upon requirements and changes to Federal or State Laws.  The incumbent educates employees and managers on leave processes and leave requirements and maintains accurate records and reporting for all leave activity.

DUTIES/RESPONSIBILITIES

  1. Manages the leave administration process for various types of leaves including, but not limited to, FMLA (block and intermittent), medical leave, personal leave, short term disability and workers compensation to ensure they are being handled according to Wexford Health policy/procedures and in accordance with state & federal legislation.
  2. Takes the lead in working with employees, their healthcare providers, and WHS management staff in providing guidance/solutions, and influencing outcomes in activity related to employee absence that fall within and outside of the existing leave programs.
  3. Reviews medical certifications to determine whether the medical condition meets the criteria under the Family and Medical Leave Act of 1993.  Reviews medical evidence of reason for other leaves to determine appropriateness of leave requests. 
  4. Along with the Director, Human Resources, approves or denies leave requests by employees.  Calculates duration of leave and monitors activity during leave to ensure employee does not exceed allowed time
  5. Maintains close professional relationships with employees, managers and regional Human Resources staff to expedite the request for leave, the approvals and on-going administration of all leave requests and employees’ return to work.
  6. Develops, tracks and manages all documentation, notifications, correspondence, etc. provided to employees throughout the leave (notification letters, approval letters, information packets, return to work plan, etc.) and ensures all documentation is provided within required timeframes.  Ensures all administration details, files, etc. are completed, processed and retained as required in accordance with company policy/procedure and applicable Federal and State laws.
  7. Educates employees and managers on the leave of absence, Worker’s Compensation and/or ADA accommodation process.  Develops and facilitates leave of absence and accommodation training materials to managers.
  8. Communicates effectively with all levels of the organization and ensures management understanding of the company's responsibilities during an employee's absence or accommodation. 
  9. Assists in developing and monitoring best practices relating to leave administration and absence management based upon procedures and policy provisions; and new and changing federal and state legal requirements.
  10. Partners with the Director, Human Resources and outside absence vendor when appropriate on complex leave cases for escalated problem resolution.
  11. Participates in claim reviews as related to LOA, Worker’s Compensation, and ADA as appropriate.
  12. Coordinates applicable adjustments to pay and benefits with the Human Resources Generalist and Payroll department.
  13. Works with Risk Management, HR Generalist, returning employee, and his/her manager, as appropriate, to ensure that any required workplace accommodations are provided to allow for the employee’s return to work.
  14. Attends on-going training as needed to remain current on leave laws.

CERTIFICATION: Current CPR certification.

EDUCATION: Bachelor’s Degree or equivalent in Human Resources, or the equivalent in related work experience.

PREFERRED EXPERIENCE: Three or more years of experience specifically in a leave of absence management capacity, demonstrating a thorough knowledge and understanding of federal and state (including, but not limited to, Arizona, Florida, Illinois, Maryland, Mississippi, Pennsylvania and West Virginia) leave and employment laws and Wexford Health leave of absence policy and procedures.
