POSITION SUMMARY

The Medical Records Clerk is responsible and accountable for the maintenance of health records. In this capacity, the employee organizes and maintains a system of health files and logs concerning patient diagnosis, treatment, admissions, discharges and daily patient census changes. The employee is expected to exercise good judgment and confidentiality and function independently.

Duties/Responsibilities

  1. Responsible for performing all clerical duties related to assembling and maintaining all medical records
  2. Maintains confidentiality of all medical record information
  3. Monitors and maintains accountability for all health records on file
  4. Maintains health records in accordance with established policies and  procedures
  5. Maintains all active health records in CORR EMR
  6. Forwards all diagnostic test results to appropriate practitioner for review and countersignature
  7. Scans paperwork in CORR EMR on a timely basis and disposes of paperwork properly
  8. Types correspondence and reports
  9. Orders and maintains appropriate levels of health service forms and clerical supplies
  10. Copies and submits medical records to appropriate personnel per HSA approval, upon request  
  11. Copies and arranges for Inmates/Patients to receive medical records when not in custody

The duties and responsibilities outlined herein are for payroll purposes only; employees may be assigned other duties as required.

Environmental Conditions

Standard medical setting in a correctional facility, which includes daily interfacing with inmates, correctional staff, and health care personnel.  Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning.

Job Requirements:

 Certification: Current CPR Certification

Education: High School Diploma or GED equivalent required.

Preferred experience: Minimum of one (1) year medical records experience.

  • Strong verbal and written communication skills
  • Strong interpersonal skills
  • Knowledge of the Problem Oriented Medical Record System
  • Demonstrated experience meeting multiple deadlines. Must ensure documents are ready for review well in advance of any deadline.
  • Ability to competently manage multiple priorities simultaneously
  • Ability to work in a stressful environment
  • Assume individual accountability for own conduct and maintenance of professional appearance
  • Approach change in a positive manner
  • Must be a "team-player" as this position requires daily coordination with other coworkers.
