POSITION: Staffing Coordinator
SCHEDULE: Full-Time ~ Monday-Friday 8AM- 4:30PMt
FACILITY: Wexford Health Sources corporate office
LOCATION: Green Tree, Pittsburgh, PA

The Staffing Coordinator is responsible for providing administrative support for the staffing department. It is important to be an organized self-starter who has the ability to juggle many tasks while also being able to differentiate between tasks that need immediate attention. Reports to Director of Talent Acquisition.

  • Produce and send daily reports
  • Act as the Kronos System Administrator for the applicant tracking system (i.e. upload job descriptions, manage forms, etc.)
  • Update staffing forms as needed (job requisition, offer variance tracking, etc.)
  • Process 401(k) booklets and restock booklets in HR file room
  • Complete transition process from beginning to end and coordinate processing of new hire paperwork
  • Schedule on site interviews
  • Process all candidates’ paperwork
  • Follow up with candidates on outstanding paperwork needed to move forward with hiring process
  • Process clearances
  • Create offer letters
  • Send orientation email and documents to site managers and regional managers
  • Enter all new employees’ orientation data into Kronos
  • Maintain and update orientation paperwork in Kronos


  • Gather/organize credentialing documents for all provider candidates
  • Follow-up with credentialing for provisional approvals
  • Assist with coordinating open interview days, conferences and luncheons
  • Ship booths, tablecloths, flyers and giveaways to events and coordinate return shipments
  • Manage giveaway inventory and coordinate ordering of new products with marketing
  • Any and all other duties as assigned/required by managers and peers

EDUCATION: High School Diploma or GED equivalent
•    Experience as an Administrative Assistant
•    Proficient in the use of computer, dictating and copying equipment.
•    Proficiency in Microsoft Word, Power Point, and Excel.
•    Experience with applicant tracking software a plus.

•    Must be a committed self-starter, possess excellent editing skills, have the ability to multi-task and prioritize in a highly collaborative team environment
